Appointment Requests
Needing to cancel or reschedule an appointment? Please contact the main office line at 316.251.0764 or call/text your clinician’s direct line. We ask that you call as soon as possible in advance to notify us of cancellations. Please keep in mind our cancellation policy is as follows:
-All clients are allowed 3 advance-notice cancelations each 6 month period (January 1 - June 30 and July 1 - December 31). Any additional cancellations result in a $50.00 holding fee which allows us to continue reserving your child’s weekly therapy spot.
-Failure to show up for an appointment or cancel the appointment at least 90 minutes in advance automatically results in a $50.00 holding fee because our therapist has spent time preparing for the session well in advance and cannot bill insurance for the time if the patient does now show up.
-Cancellation/holding fees are NOT covered by insurance and will be automatically charged to the card on file. Holding fees MUST be paid in full prior to the next treatment session.
-Sessions cancelled by the clinician or clinic due to illness, vacation, weather or other do NOT count towards the client’s allowed number of cancellations
While we understand “life happens” and try to be as gracious as we possibly can, we must strictly enforce our cancellation policy because: (1) Weekly attendance at therapy is critical for your child’s success (2) We often have an extensive waiting list and cannot justify giving a coveted treatment spot to someone who cancels frequently (3) Our clinicians book out at least 1 hour of time for your child each treatment session - from planning lesson in advance, conducting the session, and then completing documentation afterwards. If your child does not show up for his/her appointment, we cannot bill insurance for that time and therefore our clinicians do not receive payment. All patients sign off on the cancellation policy when completing the online intake forms during onboarding.
